Data Governance Policy
🚧 Implementation in Progress
We're actively implementing comprehensive governance policies to ensure transparency, security, and accountability.
Expected completion: Q1 2026 | Current phase: Foundation Building
Our Commitment to You
As a family history platform, we understand the precious and private nature of the data you entrust to us. This governance policy outlines how we balance your privacy with the operational necessities of running a secure, compliant, and reliable service.
Core Promise: We will NEVER access your data for marketing, advertising, or any purpose other than keeping your portal secure and operational. Your family's history is yours alone.
Why Platform Access is Sometimes Necessary
While we prioritize your privacy above all else, there are legitimate reasons we may need to access tenant data:
Technical Support
- Investigating bugs you report to us
- Assisting with data recovery or migration
- Optimizing performance issues
- Verifying backup integrity
Security & Safety
- Investigating suspicious activities
- Responding to security breaches
- Ensuring tenant isolation
- Preventing platform abuse
Legal Compliance
- Responding to valid court orders
- GDPR data requests
- Preventing illegal content
- Copyright compliance
Our Access Principles
1. Minimum Necessary
We only access the specific data required to address the issue at hand.
2. Time-Limited
All access sessions automatically expire after 15 minutes.
3. Fully Audited
Every access is logged with timestamp, reason, scope, and duration.
4. Transparent
You receive email notifications for non-emergency access to your data.
5. Purpose-Bound
Data viewed for one purpose cannot be used for any other purpose.
What We Will NEVER Do
- Browse your family data out of curiosity
- Share your data with third parties (except when legally required)
- Use your data for marketing, research, or AI training
- Access data without logging the reason
- Retain access logs longer than legally required
- Make moral judgments about your family's legal content

Future Evolution
We're building toward a more automated and scalable support model:
Phase 1 (Current - Q4 2025)
Foundation building: audit systems, basic automation, email support

Service workers: AI-powered first-line support, automated diagnostics
Phase 3 (Q3-Q4 2026)
Enhanced support: Video consultations, multi-language support, advanced threat detection
Our Guiding Principle: "Trust is earned in drops and lost in buckets. Every platform access is a withdrawal from the trust bank. We make it count."
Legal & Compliance
We comply with all applicable laws including:
- GDPR (General Data Protection Regulation)
- CSAM detection and reporting requirements
- Valid court orders and law enforcement requests
- Copyright and intellectual property laws
We maintain strict procedures for:
- Incident response and breach notification
- Data retention and deletion
- Cross-border data transfers
- Third-party service provider management
Transparency & Accountability
Starting in 2026, we will publish annual transparency reports including:
- Number and categories of support accesses
- Law enforcement requests received and complied with
- Security incidents detected and resolved
- Platform availability statistics
- Feature development based on user feedback
